Bay Club Operations Committee

 

April 9, 2008  Washington Room
 
Members attending: Frank Garrod, Pat Fitzgerald, Mara Graves, Donna Wagner, Jerry McGrath, Rose Fitzgerald, Catherine Good, Jeff Gould, Ingrid Butler.
 
The meeting was called to order at 7:00 PM by Chair Mara Graves.  The minutes of the March 12, 2008 were approved with the following corrections:
1. after alcohol sales insert: “( goal is 50%)”   2. after white wines insert: “available with one red wine and one white wine open at a time.  Other wines can be bought by the bottle.” 3. under new business: delete “carpet cleaning” and insert “lower level carpet replacement” . 4. delete “was” after “upper level” and 5. delete redundant “are” after “other areas of the Bay Club”.
 
Frank Garrod reported that gross profit percent for the bar was 49% in March.  There was an increase in labor costs due to new bartender training.  Red wines will now be purchased in 750 ml bottles to reduce waste.  Beer kegs are often replaced when ¼ full.  The Bay Club is under budget at this time; however maintenance and replacement costs inside the building are the responsibility of the Bay Club Operations Committee.  The Chair along with Tomi will review past expenditures to establish a more accurate budget, which will anticipate maintenance items such as carpet cleaning.
 
Old business:
Carpet cleaning and tile/grout cleaning of all bathrooms and bar area will take place on April 17.  If the large stain in the carpet at the entrance of the Bay Club foyer cannot be removed, the committee asks if, when lower level carpet is installed, a patch can be done.
Tomi has received a bid of $1500 for removal of lower level wallpaper and preparation of walls for painting; she is looking in the current budget for funds.  CL residents will be asked to help with painting the walls.
The issue of additional bookcases has been tabled.  The Chair is to contact Dave Grahek for information concerning how urgent is the need for more bookcases and what books could be eliminated from the current inventory.
New carpet for lower level: the finance committee has agreed that the replacement for this carpet was an oversight and believes there is money available.  The board requested more bids.  CAM called two other vendors; these bids were within $200 of the bid from Chubby who installed the upper level carpet.  The committee strongly recommends the board approve this expenditure since the same carpeting used on the upper level is still available and the original vendor did an excellent job.
 
New business:
Replacement of current liquors with other brands depending on price and consumption was discussed. Frank Garrod will provide data on current pricing.
Kitchen inventory is scheduled for Tuesday, April 29th at 9:30 AM.
The chair asked for permission to obtain estimates for a hutch in the bar to shelve glasses that are currently sitting on the right counter of the bar.  Permission granted.
Frank Garrod proposed that an additional beer cooler be purchased for the bar.  Currently beer is wasted when kegs are replaced that are not empty.  Frank Garrod motioned that the fire marshal be contacted as to whether an additional beer cooler could be stored in the furnace room and, if approved, a beer cooler be purchased.  This would allow an additional keg to be available and eliminate the practice of replacing kegs that are not empty.  Jerry McGrath seconded.  Motion passed.
Residents will be reminded via email that it is their responsibility to remove all trash when using the Bay Club for personal gatherings.
A sign will be placed on the warming oven to remind users that all trays need to be accounted for after use.
The committee was cautioned to be judicious in its comments about other staff in front of bartenders.  If an issue arises, bring it to the attention of CAM or the BCOC chair.
